Saba & SumTotal to Cornerstone: Your History Arrives Intact

Your people log in on day one and their training records are all there, and the auditor gets a clean history the same day they ask. We own the migration from discovery through stabilization and stay in your system after go-live, so nothing resets at cutover.

Saba to Cornerstone Migration & LMS Data Migration

The full record, intact, on Cornerstone

Years of learner records, completions, certifications, and compliance history. All of it lands on Cornerstone, so the auditor gets the same record they had before, on the same day they ask. An audit-ready organization can’t start from scratch, and with a migration handled right, it doesn’t have to. Saba’s end-of-life and SumTotal’s renewal pressure make the timing real, but the history travels with you.

Workday feeds your org chart. SAP manages payroll-adjacent compliance. The rest of your stack keeps working the day after cutover, and learners mid-stream keep their progress right where they left it. We validate row by row throughout, so discrepancies surface where they’re cheap to fix, not on cutover night.

How our own tooling shortens a migration

Your people are on Cornerstone in weeks, not months, and they don’t lose a day of progress getting there. The way we run platforms prepares the pieces in parallel where a manual migration works through them one task at a time: system configuration, org structure, permissions, groups, learning assignments, curricula, custom email notifications, reporting templates. A Certified Cornerstone Expert reviews every decision and owns the go/no-go, backed by more than ten years on Cornerstone. Nothing reaches your live platform without a person approving that specific change.

What’s included

Saba, SumTotal, and other LMS

Training records, completions, certifications, content. Absorb LMS, Docebo, or a homegrown system: if it has data, we can scope it.

Integration rewiring

Workday, SAP, ADP and the rest of your stack: your data feeds keep flowing, mapped before cutover and confirmed live after. Learners mid-stream keep their progress.

Post-go-live stabilization

Your team never hears about a broken edge case from a learner first. We stay in your system through week ten, fixing what surfaces after go-live. You’ll work with the same people who ran the migration, not a new queue.

You keep your history, your certifications, your compliance record. We take the build.

The migration timeline

Discovery and field mapping come first: the gap list is built and every field matched to its Cornerstone equivalent before any data moves. Data then loads into a staging environment for validation passes until the gap count is zero, so the record your auditor sees after cutover matches the one they saw before. Cutover runs off-hours with a Certified Cornerstone Expert present, going live only on a clean go/no-go. Our monitoring doesn’t stop at go-live. It runs around the clock through stabilization and catches what only surfaces once learners are in the system, and we make the fix.

Three ways organizations handle a migration

Comparison of GroveDeck, a consultancy, and an internal team
GroveDeck Consultancy Internal team
Cornerstone depth Cornerstone is all we do One LMS among many Depends on available experience
Validation approach We check every row, throughout Samples plus final reconciliation Manual checks near the deadline
Integration ownership We map and test both sides Separate workstream and scope Multiple internal teams to coordinate
After launch We stay through stabilization Project closes or support is added Issues join the operational backlog
When you need something It gets done It gets quoted It joins the internal queue
Commitment Project, then month to month Project contract plus change orders Ongoing internal capacity
Who’s accountable Our Certified Experts Assigned team through project close Whoever can absorb the migration

Questions we hear most

Saba EOL: what’s actually at risk if we wait?

A five-business-day written assessment scopes the work before anything moves. The earlier we start, the more validation time we have, and the window to export Saba data cleanly narrows as the software degrades.

Will we lose learner history or completion records?

Your people keep every completion and certification they earned. Each training record is mapped before a single row moves, and source-data gaps surface during discovery, where there’s still time to address them cleanly.

How do you handle Workday and SAP during cutover?

Workday’s org structure feeds Cornerstone’s user data, so any break shows up immediately in enrollment and reporting. We test in staging and validate again post-cutover, and our own tooling monitors the sync around the clock during stabilization.

What happens to our SCORM content?

SCORM packages move with the migration. We verify they launch, track, and report correctly before go-live, and flag anything already broken in Saba so you can fix or retire it.

How long does a migration actually take?

The build is weeks, not months. Discovery and field mapping come first, then staging validation, then cutover, then ten weeks of stabilization. The exact timeline depends on source system complexity and how clean the data is coming out. A five-business-day written assessment gives you a real number before anything starts.

What if our source data is messy or incomplete?

Most source systems have gaps: duplicate records, incomplete completion histories, certifications without expiry dates. We surface those during discovery, before a single row moves. Anything unfixable gets flagged and scoped: you decide whether to clean it, exclude it, or carry it as-is. No surprises at cutover.

What we also do

The migration gets you on Cornerstone. Managed administration keeps it running and improving from there, with config, permissions, and reporting handled. Content development builds the courses when you’re ready, shipping in weeks, not months.

We see it through, not just to go-live.

Your people stay on Cornerstone with the same people who moved them there, so knowledge lives in the platform, not in one person’s head. Month to month after stabilization, and the platform keeps getting sharper with every release. Your call on the pace.
